Terms for booking Tour Packages & Car Rental

  1. Tour will be booked only after receiving 100% advance.
  2. Transaction fee 15% will be charged if the cancellation is made within 45 days and more than 30 days from the scheduled booking.
  3. 100% cancellation will be charged on cancellation within last 30 days.
  4. 100% cancellation will be charged on NO SHOW.

  7. In case on any increase in cost of Hotel, Airfare, Transport, govt. tax, fuel etc we are bound to augment the same.
  8. Any Hotel/ Package Booking would be tentative unless you pay in advance and book on guarantee basis
  9. Our liabilities & limitations:
  10. Please note that after the finalization of the tour/service cost, if there are any hikes in entrance fees of monuments/museums, taxes, fuel cost or guide charges by the Govt of India and Rajasthan state government the same would be charged as extra.

HILLS-DISCOVERY-TOURS tours and travels act only as an agent for the hotels, transporters, other services & all exchange orders, receipts, contracts & tickets issued by us are issued subject to terms & conditions under which these services are provided by them.

All itineraries are sample itineraries, given to you so that you get a general idea of the likely trip schedule. Other factors such as weather, road conditions, the physical ability of the participants etc. may dictate itinerary changes either before the tour or while on the trail. We reserve the right to change any schedule in the interest of the trip participants’ safety, comfort & general well-being.

Our rates are based on the present rates as negotiated by us with the hotels and transporter. Hotels and transporter retain the right to modify the rates without notice due to fuel prices goes up. In case of such changes the rates quoted before the modification, can be changed by us according to the modifications by hotels or transporter. All hotel bookings are based on usual check in and check out time of the hotels until unless indicated in the itinerary.

We shall not be responsible for any delays & alterations in the programme or expenses incurred – directly or indirectly – due to natural hazards, flight cancellations, accident, breakdown of machinery or equipment’s, breakdown of transport, weather, sickness, landslides, political closures or any untoward incidents.

We shall not be responsible for any loss, injury or damage to person, property, or otherwise in connection with any accommodation, transportation or other services, resulting – directly or indirectly – from any act of GOD, dangers, fire, accident, breakdown in machinery or equipment, breakdown of transport, wars, civil disturbances, strikes, riots, thefts, pilferages, epidemics, medical or custom department regulations, defaults, or any other causes beyond our control.

We do not have any insurance policy covering the expenses for accident, sickness, loss due to theft, or any other reasons. Visitors are advised to seek such insurance arrangements in their home country. All baggage & personal property/s at all times are at the client’s risk.


Payment Terms:

1. On confirmation of booking your contract is with Hills Discovery Tours Pvt. Ltd. A contract exists between us when we confirm your tour/travel services and have received the deposit amount from your end.

  1. For the services contracted, a minimum deposit of 25% of the total cost is to be paid by you to Hills Discovery Tours Pvt. Ltd. The deposit is required to hold the booking on confirmed basis.
  2. Balance payment is to be made 15 days prior to the date of start of services. Any booking made within 15 working days of the date of services would be considered to be a late booking and for same the full and final payment is required to be made at the time of booking itself.
  3. We request you to kindly make at least 50% advance payment in the below-mentioned bank details for booking confirmation and the balance payment to be paid before check-in date.
  4. Our reservation office working hours are from 0900 hrs to 1900 hrs (Mon-Sat). Any payment made by the booker post 1900 hrs does not give assurance of confirmed booking/holding of rooms unless affirmed by our team over the mail/phone

Note:

1: For high peak season bookings – please note that if the booking for high peak season is/are cancelled, due to whatever reason, no refund would be made for said cancellation.
2. During “Peak-Season,” which is defined by the density of tourist inflow in each region, and may vary from place to place and hotel to hotel, any particular hotel may implement a different cancellation policy. The travel agent is bound to follow the hotel specific cancellation policy; and in case of variation from the above-stated policy, the excess in cancellation charges will be borne by the client and not the travel agent.
3. In case you cancel the trip after commencement, refund would be restricted to a limited amount that too would depend on the amount that we would be able to recover from the hoteliers we patronize. For unused hotel accommodation, chartered transportation and missed meals etc. we do not take any guarantee to refund.
4. Modifications/Cancellations sent directly to the hotel will not be honored.
5. In regard to unused or unutilized services (which are paid for and cancelled well in advanced) Please note that the refund process may take 2 to 8 weeks due to banking procedures.
6. No deductions will be made for the refunds (except the transaction charges), which are made due to unavailability of services. If the services requested are unavailable during the requested period, we will offer similar alternatives well before the commencement of the services and if the client does not find the alternatives acceptable, the advance will be refunded. However, once the alternative service is accepted by the client, cancellation of the same will be subject to the above-stated cancellation policy.
7. It is clearly understood that there shall be no refund or compensation whatsoever for unutilized services. This general rule applies to all kinds of non-utilization or under-utilization of tour services, whether of the whole or part of the tour and whether as a matter of your choice, or caused by your fault or compelled by circumstances such as ill-health, weather, external factors etc.
8. There will be no refund if you fail to or are unable to utilize any of the services on the tour like airline travel, hotels, sightseeing, rides, cruises, meals, entrance fees, optional tours etc due to any reason whatsoever such as late reporting, ill-health etc

Complaints & Grievances:

If the passenger has any complaint in respect of the services provided by us, the passengers must tell them immediately to your guide / leader or concern person at the moment to resolve the problem ASAP. Any claim or complaint by the passenger must be notified to the company in writing within seven days after the tour completion date. No claims from the passengers will be entertained by the company beyond seven days of completion of the tour. Also, the company shall incur no liability in respect thereof.
